BTLA BROKER / BUSINESS TRAVEL

Business travel insurance.
With your team in mind.

A single business trip, group travel or regular work abroad? We help clarify your business's needs and select cover for the destinations, tasks and working arrangements of your team.

For businesses organising business trips, team travel and work abroad.

To begin with, a description of the trips is enough. We will establish employee details later.

01 / YOUR BUSINESS NEEDS

A trip starts before the airport.

Preparing cover is easier when the team's destination, trip duration and planned activities are known. We help gather this information and check which risks need attention.

You can enquire about one trip or arrangements for multiple trips during the year. If you are still planning, describe what you already know.

  • For HR and administration: clear arrangements for employees, the information needed for notification and guidance before travel.
  • For owners and management: a review of the cover, remaining restrictions and programme administration.
  • For businesses sending teams to work: checking the activities performed, length of stay and terms of cover abroad.

02 / AREAS TO REVIEW

What your team does at the destination matters.

The list below shows areas for discussion. Final cover follows from the chosen contract, its terms, limits and exclusions.

Private travel, business trips and manual work may be defined differently in the insurance terms. We do not assume that one option covers them in the same way.

What do we check in these areas?

Medical treatment and assistance arrangements

We analyse medical expenses, medical transport, repatriation and assistance cover. The destination countries and possible length of stay help assess the sums insured and restrictions needed.

Work performed abroad

We distinguish meetings and office tasks from manual, installation and work-at-height activities. We check how the insurance terms define them.

Accident consequences and liability

We discuss personal accident (NNW) and personal liability cover. We verify needs relating to liability for work and existing public liability insurance separately.

Luggage and business equipment

We check limits, excesses and the terms of cover for laptops, phones and other belongings taken on the trip. We establish how this relates to the business's property policies.

Changes to travel plans

If you need cancellation or curtailment cover, we start with bookings, payments and dates. The available scope depends on the specific product terms.

Annual programme and its administration

We organise travel notification rules, per-trip limits, traveller documents and any person-day settlement. The team should know how to get assistance.

03 / HOW WE WORK

From travel plans to an informed decision.

Before the discussion, prepare

Planned countries and work type, approximate traveller numbers and trip duration. For an annual programme, a summary of previous travel will help. If you have a policy, prepare its terms and expiry date — you can send the documents later through a method agreed with the broker.

What do we check in these areas?

You describe your needs

You provide destinations, dates or trip frequency, approximate numbers and the nature of the work. You can also choose a short request for a conversation.

We agree the details

The broker clarifies missing information, analyses requirements and needs, and agrees documents and authority needed for further activities.

You discuss the proposal

You learn about the cover, limits, exclusions and service arrangements. Before deciding, you receive the relevant documents for the proposed insurance.

04 / BEFORE YOU TRAVEL

What should you ask?

We explain matters that help prepare a specific enquiry.

Can we cover multiple business trips in a year?

This need is worth analysing as an annual programme. We establish travel countries, employee numbers, the nature of tasks and the length of individual stays, among other things. An annual policy does not automatically mean every trip can last all year. Limits and travel reporting rules depend on the chosen contract's terms.

Will the policy cover manual work or installation work abroad?

This needs to be checked. Describe the specific tasks, such as installing equipment, operating machinery or working at height. Simply stating ‘business travel’ may not be enough. We will check the availability of cover, the definitions in the insurance terms and any extensions needed.

Can we enquire about a team-building or group trip?

Yes, you can describe it in the form. Provide countries, dates, participant numbers and planned activities. Sport, outdoor activities or participants from outside the company may require further arrangements. We treat group size separately from whether you need cover for one trip or a programme for multiple trips.

How do we calculate person-days if we are still planning trips?

An estimate is enough to start with. Five people travelling for four days gives a total of 20 person-days. Add up the expected stays of the whole team. Not every offer uses the same rating method; the broker will explain the method for the proposed solution. If you do not have the information, leave this field blank.

Does travel insurance replace business liability or equipment cover?

The covers may differ. Personal liability should not be treated as automatic cover for liability arising from work. Luggage and a business laptop may also be subject to separate limits and exclusions. We compare travel needs with the company's existing policies.

Can we ask about trip cancellation or curtailment?

Yes. Prepare the booking amount and date, first payment date and cancellation terms. Availability, purchase deadlines and insured events depend on the product. Stating a need in the form does not mean the insurer has accepted it.

What should I do if the trip starts shortly or is already under way?

Indicate this in the form and call us on 32 307 70 37. We will check the possibility and terms of cover for your particular situation. Do not assume earlier events can be insured. Sending an enquiry does not put cover in place.

Do I need to give employees' names and sign an authorisation straight away?

At this enquiry stage, we ask for information about the company, travel and a contact person. Do not provide individual employee details, PESEL numbers or health information. We agree further documents, needs analysis and appropriate authority before proceeding to activities that require them.

SPECIFICS / BEFORE A DECISION

Before you request a quote.

What affects the cost?

  • Countries, length of stay and number of travellers
  • Purpose of trip, manual work and activities
  • Cover, limits and single-trip or annual arrangements

These are starting points for a conversation. A meaningful price comparison requires a defined scope and terms of cover.

What will help our first conversation?

  • Destinations and approximate dates
  • Number of people and description of duties
  • Details of existing cover

Don't have everything? Start with a brief description. We will establish what can be added later.

One trip or an annual programme?

Start with how often business trips take place. For regular travel, we will compare the possibility of an annual programme; for a single trip, the needs of that particular journey. The terms must be checked in the offer.

What happens after you report a claim?

We will contact you about your needs, clarify the information and agree the scope of further analysis. An enquiry alone does not put cover in place.
