BTLA BROKER / HOW WE WORK / 04
We stay in touch.
Cover changes with your business.
A new machine, contract or location, or a change in staffing, may require an update to the insurance programme. We help organise this information, prepare renewals and assemble the documentation needed when a loss occurs.
01 / CONTEXT
We agree what information should reach us.
Within a business, information about property, contracts and employees is often held by different departments. We agree contact arrangements and identify who will communicate changes. This means a programme review need not start by reconstructing the whole of the previous year.
- You buy assets, change location or change how you operate.
- Policies or an important contract are approaching expiry.
- A loss has occurred and you need to organise the next steps.
02 / MORE DETAIL
Three aspects of ongoing cooperation.
Programme updates
We discuss changes to activities, values, fleets and other information relevant to cover. We check contractual obligations and the information required for notification.
Discuss this coverRenewing in good time
We review experience from the ending period, claims history and business plans. We establish which assumptions remain valid and which need a new comparison.

What do we check in these areas?
Claims support
We help prepare the notification, gather documents and organise communication with the insurer within the agreed scope. Liability and the amount payable depend on the case and the contract terms.
03 / A SCENARIO TO DISCUSS
An organisational example: several policies, one loss.
An event may involve property, interruption costs and liability to another business. It is worth identifying which contracts need checking, where notifications should go and how to create a shared chronology and document set. This does not automatically mean payment under every cover.
- An agreed way of reporting changes.
- Information needed before renewal.
- Clear documents and a chronological loss record.
- Clear questions and arrangements when dealing with the insurer.
What should you prepare?
When reporting a change, state what it concerns and when it will take effect. For a loss, prepare the policy number, date, location, a brief description and available documents. Urgent protective steps and notification deadlines should follow the circumstances and contract terms — do not wait until every document is gathered.
05 / USEFUL TO KNOW
Before the next step.
Does every change have to be notified to the insurer?
The significance of a change and any notification requirement follow from the contract terms. It is worth discussing new locations, values, activities or contracts in advance, rather than assuming the programme will cover them automatically.
Does the broker decide whether a payment is made?
The decision rests with the insurer under the contract and the circumstances of the case. Brokerage support includes documentation, notification and communication; it does not guarantee acceptance of a claim.
Do we need to wait until the policy ends to start the renewal?
It is worth starting preparations earlier to gather information, analyse claims and discuss changes. We will adapt the timing of further action to the programme and your company’s situation.
